⚠️ This checklist only gets you as far as "checked"
What actually causes problems on the trip is how you choose — insurance / ZTL / itinerary / lodging.
Checking a box is easy. Knowing how to choose isn't something this document solves.
See the last section for what to do once you've checked everything.
1️⃣ Rental Car Booking
- Confirmed pickup / return country and city
- Confirmed automatic vs. manual transmission (Europe skews heavily manual)
- Confirmed the car size fits the areas you're visiting
- Compared airport pickup vs. downtown pickup cost
- Confirmed whether additional drivers need to be registered
- Photographed existing scratches/damage at pickup
🔴 If you skip this
- Can't drive a manual you weren't expecting → forced on-site swap at extra cost
- Unregistered additional driver in an accident → coverage may be denied
- No photo record of scratches → disputed liability at return
2️⃣ Insurance Most important
💡 This is where first-timers make the most costly mistakes — it's a judgment call, not a simple checkbox
- Confirmed whether there's an excess (deductible)
- Confirmed whether it's a zero-excess policy or a pay-then-refund structure
- Confirmed whether undercarriage damage, key loss, and wrong fuel are covered
- Confirmed whether the deposit is held via a credit card hold/block
🔴 If you skip this
- A single accident → excess of €500–€3,000 charged on the spot
- Refund-based policy → refund can be denied later over missing paperwork
- Undercarriage/wrong-fuel damage not confirmed → falls outside coverage, fully out of pocket
3️⃣ Essentials to Bring
- International Driving Permit (IDP) prepared
- Bringing your original home driver's license (always together with the IDP)
- Credit card in the driver's own name (Visa/Mastercard recommended)
- Phone mount for the car
- Navigation app installed with ZTL warnings
- Offline maps downloaded
🔴 If you skip this
- No IDP → vehicle handover refused on the spot
- No card in the driver's name → deposit hold impossible, booking may be cancelled
4️⃣ ZTL (Italian Restricted Traffic Zones)
❗ The rule: if you're not sure, don't enter. There's no fixing it once you're in — only checking beforehand.
- Confirmed whether your accommodation is inside a ZTL zone
- If it is, requested plate pre-registration from the accommodation
- Confirmed whether you'll enter Milan's Area C
→ paid entry zone (€7.50) · fine if unregistered
- Can recognize the ZTL sign (red circle)
- Confirmed whether ZTL restrictions also apply at night
🔴 If you skip this
- Unauthorized ZTL entry → fine per violation, plus a separate rental company lookup fee
- Crossing the same zone repeatedly → billed separately for each crossing
- Fines are mailed months later — miss it and penalties add up
5️⃣ Parking
- Confirmed in advance whether your accommodation has parking
- Know what the parking space colors mean
- 🟦 Blue = paid (meter ticket required)
- ⬜ White = free (often time-limited)
- 🟨 Yellow = residents only (never park here)
- Checked for valuables left visible in the car
🔴 If you skip this
- Parking in a yellow zone → immediate tow + fine
- No meter ticket displayed → fine of €20–€80
- Outdoor parking in Italy with visible belongings → frequent smash-and-grab break-ins (per embassy safety notices)
6️⃣ Itinerary Design
- Confirmed daily driving distance isn't excessive
- City arrival days don't overlap with long drive days
- No conflict between where you're staying and your route
- Budgeted separately for Italian highway tolls
🔴 If you skip this
- 400km+ in a day → driving fatigue spikes, no energy left to sightsee on arrival
- City arrival day = travel day → parking and ZTL problems hit at once
- Trusting Google Maps' time estimate alone → actual arrival often 1.5x longer
7️⃣ Driving Conditions & Vignettes
- Confirmed the speed limits for the countries you're visiting
- Can tell petrol and diesel apart without confusion at the pump
- Plan to check for a German environmental sticker (Umweltplakette) at pickup

8️⃣ Just Before Returning the Car
- Stopped at a gas station at least 30 minutes before return to fill per your fuel policy Full-to-Full basis
- Photographed/filmed the full exterior (scratches, dents, wheels, glass)
- Photographed the odometer reading
- Checked no personal items (passport, charger, luggage) are left inside
- Returned all provided items — documents, plate stickers, parking passes, etc.
- Walked the car with staff at return and got a return confirmation (or email)
- Confirmed the deposit refund date and method
🔴 If you skip this
- Handing back just the keys with no return confirmation → no evidence to dispute later "new damage" claims
- Fuel policy not confirmed → topping off to Full on a Pre-purchase plan means no refund for unused fuel
